Interdepartmental Mail

Duke employees can send and receive mail through Inter-Department Campus Mail, which delivers to addresses in the Duke system using campus box numbers and doesn’t require postage. Employees will receive mail in their mailboxes or through their own department’s mail system. Outgoing mail is picked up as incoming mail is delivered.

All mail must be official Duke business and can be anything from a memo for general distribution to items addressed for an individual or position at Duke. If mail is not in an envelope, it should be folded and marked with an employee’s name or title and must always have a campus mailbox number.

Recycled interdepartmental envelopes are sometimes available. Please contact us for more information. 

Package Delivery

The U.S. Postal Service holds packages incoming to Duke at the West Durham Post Office, and we pick them up every day at 10:30 a.m. for same-day delivery. The Post Office considers packages that arrive at the West Durham Post Office after our 10:30 pickup "delivered" (and marks them as such in their online package-tracking system), even though those packages can't be delivered by Duke Postal Operations until the following day.

Metered Mail

All mail sent by departments that need postage require a charge code. You can write the code in the upper left-hand corner of the envelope, we can provide you with pre-barcoded charge cards or you can print your own pre-barcoded charge slip if you use a cost center. Mail without a charge code must be returned to the sending department.

Health System Mailboxes

Campus Mail Services will deliver mail for employees who were allowed to move their Duke South mailbox numbers to other buildings, as long as the employee stays in their current location.

However, in order to continue receiving delivery, once a customer moves again they must convert to a mailbox number assigned to their new building. Employees always have the option of keeping their original mailbox number, but it will require them to pickup their mail directly from the Duke South mailbox area located in 09 Davison Building.

Any mail addressed to an old box will be delivered to a new box for one calendar year. After one year, the old number will be reassigned to a new employee who requests a mailbox in Duke South.

Delivery of mail without a mailbox number will be delayed significantly.
